How to send lead quality back to Meta from your CRM

By İlkan Geldigitti ·

Every lead-gen account eventually hits the same wall: cost per lead looks great, but the sales or intake team says most leads are junk. The campaign is doing exactly what it was told. It found people who fill in forms.

The fix is to tell Meta which leads turned into something real.

Why form fills are the wrong target

When you optimise for Lead, Meta looks for people similar to everyone who submitted the form, including the ones who never answered the phone. The more junk leads you get, the more junk Meta finds.

What you actually want Meta to learn from is a later stage: qualified, booked, showed up, became a customer.

The two ways to report outcomes

1. Lead forms on Meta: report by lead ID

If your leads come from Meta lead forms, each lead has a lead ID. Your CRM keeps it, and when the lead moves to a new stage (for example from New to Booked), the CRM sends an event to Meta's Conversions API with that lead ID and the stage name.

Meta matches the event to the original lead without you sending email or phone numbers again. Meta's Conversion Leads setup needs a steady flow of these stage events (Events Manager shows progress), and at least two stages are commonly used.

Many CRMs support this directly; others do it through an automation or webhook.

2. Website forms: report with a server event

If leads come through your own website form, send the later stage as a standard event (such as Schedule or Purchase) through the Conversions API when your CRM records it. Include the identifiers your dataset is allowed to use, plus the original click ID (fbc) and browser ID (fbp) if you stored them at form submission.

Keep it clean on restricted datasets

On health, personal hardship or finance sites, be stricter:

  • Use standard event names, never descriptive ones like "Divorce_Consult_Booked".
  • Send no case details, URLs or free-text fields.
  • Check in Events Manager which customer information fields your dataset accepts before sending them.
  • Confirm in Test Events exactly what arrives.

How to check it's working

  1. Create a test lead and move it through your pipeline stages.
  2. Watch the events arrive in Events Manager (Test Events for live testing).
  3. Compare weekly: leads per stage in your CRM vs. events in Meta. They should roughly match.
  4. Once enough stage events flow, test a campaign optimised for the deeper stage against your current one.

The result is usually a higher cost per lead and a lower cost per customer, which is the trade you want.
